Please read these terms and conditions carefully before booking your travel with us.

Booking & Package Policy

Package can be altered/changed as per customer's requirement (subject to availability). For confirmation of booking, an advance payment is required as per the policy mentioned below. The remaining payment needs to be cleared before the departure date or at the time of check-in at the hotel, as per the agreement.

Booking confirmations are subject to availability and date. Holiday Taxes/Surcharge will be additional if applicable. Minimum 2 passengers are required to avail the package. The Package prices are valid for Indian Nationals & Foreigners holding Indian Resident Permit. All bookings are confirmed only after receiving the advance payment.

Pricing & Payment Terms

For Air tickets: Full INR component to be collected before issuance. The package prices are dynamic and may change without prior notice based on airline fares, hotel rates, and currency fluctuations. All payments should be made in Indian Rupees (INR) unless otherwise specified.

We accept payments via cash, cheque, demand draft, online transfer, and all major credit/debit cards. Any bank charges or transaction fees will be borne by the customer. GST (Goods and Services Tax) as applicable will be charged on all invoices.

Note: Flight prices are dynamic and subject to change until the ticket is issued. We recommend confirming your booking at the earliest to lock the fare.

Cancellation & Refund Policy

Shorter stays and early check-out are regarded as cancellation - no refund will be provided. No amendments (date changes) are allowed once the booking is vouchers. All cancellation requests must be submitted in writing via email or in person at our office.

Refund processing is strictly as per the cancellation policy. The refund amount, if any, will be processed within 15-20 working days from the date of cancellation approval. The refund will be credited to the original payment method or as per customer request via bank transfer.

Important: No refund will be provided for no-show cases or if the guest fails to join the tour on the specified date. Travel insurance is strongly recommended to cover such contingencies.

Hotel & Accommodation Policy

Check-in time is 12:00 PM / 02:00 PM and check-out time is 10:00 AM / 12:00 PM (standard hotel policy). Early check-in or late check-out is subject to availability and additional charges may apply as per hotel policy.

Valid identity proof (Aadhar Card, Voter ID, Passport, Driving License) is mandatory at the time of check-in for all guests. The hotel reserves the right to deny entry if valid ID is not provided. Room upgrades are subject to availability and additional charges.

  • Hotel policies supersede agency recommendations

Travel Documents & Visa

It is the sole responsibility of the passenger to ensure that they possess valid travel documents including passport, visa, and all necessary permits for their travel. Raj Travel and Tours will not be responsible for any issues arising from improper or insufficient documentation.

For international travel, passengers must ensure their passport is valid for at least 6 months from the date of travel. Visa processing time varies by country and passengers are advised to apply well in advance. For destinations requiring visa on arrival, please ensure all requirements are met.

During Tour Guidelines

All tours are conducted as per the itinerary provided. The tour operator reserves the right to alter, modify, or cancel any part of the itinerary due to circumstances beyond control such as natural disasters, political unrest, weather conditions, or airport closures.

Passengers are advised to follow the instructions of the tour guide/driver and maintain discipline during the tour. Any damage caused to hotel property or vehicle by the passenger will be charged to their account. Consumption of alcohol and smoking is strictly prohibited in vehicles and certain hotel areas.

Liability & Responsibility

Raj Travel and Tours shall not be responsible for any cancellation, delay, or inconvenience caused due to reasons beyond our control including but not limited to natural calamities, strikes, road blocks, vehicle breakdown, flight cancellations, or any act of God.

We are not responsible for compensating any loss, injury, or additional cost incurred by the guest due to the above circumstances. Medical expenses during the tour will be borne by the passenger. We strongly recommend purchasing comprehensive travel insurance before commencing your journey.

Recommendation: We strongly advise all passengers to purchase comprehensive travel insurance covering medical emergencies, trip cancellation, baggage loss, and personal liability.

Child Policy

Complimentary stay is provided for children below 5 years of age (sharing bed with parents). No extra bed will be provided for children below 5 years. Food charges for infants and children below 5 years will be charged separately as per the hotel's policy.

For children between 5-12 years, applicable child rates will be charged with extra bed. The age of the child will be considered as on the date of travel. Please carry a valid age proof for children to avail any discounts or benefits.

Package Tour Terms & Conditions (During Tour)

The following terms apply specifically during your tour. Please read carefully to ensure a smooth and enjoyable travel experience with Team Raj Travels.

1. Booking and Itinerary Changes

  • Once a package is booked, the itinerary mentioned in the package or voucher is considered final. No changes or modifications will be entertained after booking.
  • If you do not follow the itinerary as provided, no refund will be issued.
  • Last-minute or on-the-spot changes to the itinerary will not be accepted.
  • If you decide to make changes to the itinerary on your own, we will not be held responsible for any inconveniences or additional payments.
  • Any extra payments (e.g., to hotels, car rentals, monuments, or other services) must be settled directly with the respective vendors.

2. Supplementary Costs

  • Costs for supplementary services, optional tours, upgrades, and sightseeing entrance fees are not included unless specifically mentioned in the package. These must be paid for separately.

3. Hotel Policies

  • We do not interfere with the policies of the hotels regarding check-in and check-out times. These are as per the hotel's policy.
  • In case of any issues with hotel services, you may contact us, and we will assist in resolving the matter to the best of our ability.
  • It is your responsibility to check the assigned room before checking in. The hotel will not entertain complaints about the room after check-in.

4. Food and Meals

  • For breakfast, lunch, or dinner at hotels, if you have specific dietary requirements or food preferences, you must communicate these directly to the hotel in advance or prior to check-in.
  • Any special food demands may incur additional charges as per the hotel's discretion.

5. Vehicle Usage

  • Only the destinations and routes mentioned in the itinerary will be covered. Any additional trips or stops requested will incur extra charges, which are to be paid directly to the driver or service provider.
  • Costs arising from additional vehicle usage (beyond the scheduled itinerary) will be your responsibility.

6. Unforeseen Circumstances

  • We are not liable for any differences in costs or disruptions caused by natural calamities (e.g., landslides, roadblocks, political unrest, etc.) or other unexpected events.
  • Any additional costs incurred due to such events must be borne by the customer.

7. Hotel Standards

  • The hotels provided as part of the package may differ in quality and services compared to hotels in other developed destinations.
  • Hotels have been carefully selected to provide a similar standard of service and facilities across all locations in the itinerary.

8. Transfers and Sightseeing

  • All transfers and sightseeing activities included in the package are by private vehicles and will be conducted strictly as per the itinerary.
  • Vehicles are available on a point-to-point basis only, and additional usage is not included.

9. Behavior During the Tour

  • Customers are required to be punctual and follow the schedule as outlined in the itinerary. Delays caused by a customer may lead to missing out on planned activities, for which no compensation will be provided.
  • We request customers to maintain a respectful attitude towards staff, drivers, and service providers to ensure a smooth travel experience.

10. Responsibility and Liability

  • It is your responsibility to review all travel documents (e.g., vouchers, permits, IDs) upon receipt. Any errors or discrepancies must be reported immediately.
  • Any personal belongings lost during the tour are the sole responsibility of the customer.

Additional Notes for Our Valued Customers

  • Adherence to Itinerary: Changes to the itinerary during the tour are strictly not allowed. We plan the tour to maximize your experience, and changes may not be feasible due to logistical constraints.
  • Room Inspections: Upon arrival at the hotel, check the room thoroughly for cleanliness and facilities. Inform the hotel immediately of any concerns before settling in.
  • Dietary Needs: If you have allergies, specific food restrictions, or dietary requirements, make these clear to the hotel staff in advance.
  • Unexpected Costs: Be prepared for unforeseen expenses arising due to political unrest, weather conditions, or road blockages.
  • Respect Local Laws and Culture: Please respect the laws and cultural customs of the destinations you visit.
  • Emergency Assistance: Keep the contact information of your travel agent and emergency services handy in case of any issues.

Cancellation Policy — Detailed Schedule
All cancellations must be communicated in writing. A non-refundable and non-transferable fee of INR 7,500 per person, or the applicable cancellation charges (whichever is higher), will be deducted. In addition to the forfeiture of the tour deposit, the following cancellation schedule will apply.

Third-Party Services

The cancellation charges above apply only to the main tour. For any additional services booked, cancellation charges will apply as per the respective provider's policy:

The Company also reserves the right to recover its service charges for booking and cancelling such services on behalf of the client.

Important Notes:

  • All refunds will be processed only after receiving written cancellation and after deducting applicable charges.
  • No refund for unused services, no-shows, or early check-outs.
  • The Company reserves the right to modify this policy based on seasonal surcharges, peak dates, or supplier terms.

Comprehensive Tour Package Booking Terms

Please read these terms carefully before proceeding with any inquiry or booking for holiday packages and flight tickets. Your engagement with our services signifies your acknowledgement and acceptance of these terms.

1. Pricing and Payment: Understanding Your Investment

Estimated Quotes vs. Final Price: Any initial cost indication provided during an inquiry, whether verbal or written, is strictly an estimate. This estimated cost is subject to change due to dynamic market conditions — including government taxes, airline fuel surcharges, hotel availability, exchange rate movements, and other service charges beyond our direct control.

Final Confirmed Price: The definitive and non-negotiable price for your holiday package or flight ticket will be clearly stated on your official bill or invoice. Once issued and a booking is confirmed, this price becomes final. You expressly agree that you cannot claim or dispute any variations between the initial estimated quote and the final confirmed cost reflected on your invoice.

Payment Schedule: Specific payment schedules, including deposits and final balance due dates, will be communicated at the time of booking. Failure to adhere to payment deadlines may result in cancellation of your booking and potential forfeiture of any deposits paid.

Budget Considerations: Please communicate your budgetary concerns and preferences to us openly. We are committed to working with you to explore and propose options that align as closely as possible with your specified budget, while adhering to our quality standards.

2. Holiday Package Inquiries & Hotel Information

Hotel Information During Inquiry: To protect our proprietary supplier relationships and ensure flexibility in sourcing the best available options, we generally do not disclose specific hotel names during the initial inquiry phase. We will provide a detailed itinerary outlining daily activities, meal plans, and the category/standard of accommodation. Upon request, we can share generic hotel photos or examples typically used for the specified category.

Hotel Names on Confirmation: Precise names and contact details of all confirmed hotels will be listed on your final confirmation voucher, issued only after the booking is fully confirmed and payment arrangements are complete.

Quality Assurance: It is our unwavering policy to exclusively utilize hotels of a minimum 3-star standard or higher for all holiday packages. We do not engage with 2-star or lower-rated hotels, budget guesthouses, or hostels. While we strive to meet your budget, we will not compromise on our minimum hotel quality standards.

Services, amenities, facilities, and overall guest experience vary significantly between different hotel categories. You cannot reasonably compare the services, room sizes, or facilities offered by a 3-star hotel to those of a 4-star or 5-star property, as they operate under different standards and pricing structures.

3. Booking Process & Customer Demands

Finalization of Itinerary: Our goal is to craft a memorable holiday experience for you. Once an itinerary is agreed upon and a booking is confirmed, significant changes to the itinerary or demands for new inclusions may incur additional charges or may not be feasible.

Customer-Driven Changes: We understand that preferences can evolve. However, frequent or substantial changes to an agreed-upon itinerary or service scope — especially after initial quotes or during booking finalization — can impact pricing, availability, and overall processing time. We reserve the right to re-quote or decline requests for excessive changes if they become unmanageable or compromise the integrity of the booking.

Transparency in Service: We are committed to providing a transparent and straightforward service. These terms and conditions are designed to clearly outline our operational parameters and prevent misunderstandings, ensuring a smooth and satisfactory booking experience for all our customers.
